Rules & Procedures for Vendors and Directory Listings

Changes to this Document

Please note that the Cedar Rapids Marketplace reserves the right to change or adjust any content within its sole discretion at any time. Such changes are effective immediately. We will update this document with the “Last Revised” date at the top, and replace the existing document with the new version.

Store Application

All persons and persons/businesses interested in selling their products or listing their services on the Cedar Rapids Marketplace will be required to complete an application and be approved before they can set up their store or service listing.

Applications must be submitted electronically at: https://www.cedarrapidsmarketplace.com/open-shop

Application Status Definitions

You will receive application notifications based on the following:

  •      Approved – Application approved.
  •      Declined – Not selected to sell on the Cedar Rapids Marketplace.

Approval Process

The Cedar Rapids Marketplace reviews applications to ensure applicants and their product or services meet the criteria to list on the Cedar Rapids Marketplace.

Vendor Criteria

Location Criteria

  • Vendors must live/have a place of business within a 25-mile radius of Cedar Rapids, IA for “local pick up” items.
  • Vendors must live/have a place of business within a 50-mile radius of Cedar Rapids, IA for items that are to be delivered.
  • Vendors must live/have a place of business within the state of Iowa for items that are to be shipped.

Product Criteria

  • All products sold on the Cedar Rapids Marketplace website must be made, produced, fashioned, transformed in Iowa.*
  • Vendors are only permitted to sell items they have produced or crafted themselves. Reselling someone else’s product is not allowed.*
      • If you design and make your items, be prepared to tell us: A brief description of how your items are made (may include materials, workspace, tools, and equipment you use)1.
      • If you partner with an outside manufacturer for part of your production, be prepared to tell us: A brief description of how your items are made, the expertise you bring to your business, and your pre/post-production design process.
      • Vendors found selling items that do not meet these criteria will not be permitted to sell on the Marketplace.

    * Certain businesses will be approved to list or link products that they sell, even if they have not manufactured them themselves, if we deem it appropriate to help that small business gain promotion for their goods/services. This must be linked to a paid Business Directory Listing.

    Product Categories:

    We accept most products that fall into one of these categories:

    • Handmade Products
    • Clothing and Accessories
    • Home Decor & Gifts
    • Bath and Body
    • Baked and Specialty Foods- potentially hazardous food- food that requires refrigeration to 41°F or below after preparation- REQUIRES FOOD LICENCE
    • Fresh Products- Fruits and vegetables, honey, eggs, flowers, and other seasonal grown items

    At this time, we are NOT accepting the following in our product listings, however, you are permitted to list your types of products on a services listing.

    • Alcohol, beer, wine, or spirits.

    We do not permit the following items for sale on the Cedar Rapids Marketplace

    • Tobacco, Drugs, Drug Paraphernalia, and Medical Drugs
    • Dangerous Items: Hazardous Materials, Recalled Items, and Weapons
    • Hate or Violence Items: Items that Promote, Support, or Glorify Hatred or Violence
    • Illegal Items: Items promoting Illegal Activity or Highly Regulated Items
    • Pornography and Mature Content

    It is the sole responsibility of each vendor to be familiar with and abide by all state and federal regulations pertaining to their operation.

    Local Business Directory Criteria

    Location Criteria:

    • Service businesses providers must live/conduct their business within 25 miles of Cedar Rapids, IA.

    Listing Criteria:

    • Local-Owned Businesses
    • Consultant-Based Businesses
    • Skill Offerings (i.e. Embroidery, Craftsman, Repair Work, etc.)

    We are not accepting the following types of business directory listings:

    • Nationally-owned businesses
    • Businesses that do not operate in within 25 miles of Cedar Rapids, IA.

    We do not permit the following items listed as a service on the Cedar Rapids Marketplace

    • Tobacco, Drugs, Drug Paraphernalia, and Medical Drugs
    • Dangerous Items: Hazardous Materials, Recalled Items, and Weapons
    • Hate or Violence Items: Items that Promote, Support, or Glorify Hatred or Violence
    • Illegal Items: Items promoting Illegal Activity or Highly Regulated Items
    • Pornography and Mature Content

    It is the sole responsibility of each service listing to be familiar with and abide by all state and federal regulations pertaining to their operation. All business conducted by way of this website is between the service provider and their customer.

    Selection of vendors and services shall be at the sole discretion of the Cedar Rapids Marketplace.

    Fees

    Shop Vendors have two store options to choose from to sell their products

  • Commission Plan
    – No Listing Fee
    – No Monthly Fee
    – Pay 10% Commission on each sale

 

  • Monthly Plan
    – No Listing Fee
    – No Commission Fee
    – Pay $15/month regardless of amount of sales

 

  • All store options incur PayPal fees

 

  • Business Directory Listings have two listing options to choose from to highlight their services

    Standard Listing- Free

    • Allowed up to 3 photos
    • Static listing- should contain basic information that does not need updating
    • Is not featured or promoted on social media

    Featured Listing- $8/month

    • Allowed up to 10 photos
    • Live listing- users have the capability to log in and update information as they please
    • Business is featured in the sidebar and homepage featured sections
    • Promoted on the Cedar Rapids Marketplace social media channels

    Payments & Deposits

    The Cedar Rapids Marketplace uses PayPal exclusively for secure transactions and monthly subscription payments for various plans. You must have an active Paypal account to receive your commissions and pay your fees.

    Payment

    • Monthly plan fees are automatically withdrawn from your Paypal account each month.

    Deposits

    • Deposits are automatically credited to your Paypal account after an order is placed.

    Permits, License, CPSC Laws, and Insurance Requirements

    Licensing and permit requirements vary depending on the type of business you are operating. It is the sole responsibility of each vendor/service provider to be familiar with and abide by all state and federal regulations and CPSC laws pertaining to the production, harvest, preparation, preservation, labeling, shipping, and safety of products bought on the marketplace.

    Trademark

    Vendors will be required to provide proof of any products that bear a logo or a registered trademark (e.g. University Logos or Disney Characters).

    Food Licenses

    Vendors with questions about food license requirements or certificates/ permits should contact the Linn County Public by phone at 319-892-6000.

    Sales Tax Permits

    It is an individual vendor’s responsibility to ensure that, if necessary, proper sales tax is applied and appropriate permits are obtained. Vendors may obtain an annual sales tax permit online at www.state.ia.us/tax or by calling 319-362-3613.

    Insurance Requirements

    It is an individual’s responsibility to obtain product liability insurance if products have the potential to cause injury or death in the case of a design, manufacturing, or warning defect.

    Consultant Business Requirements

    It is the responsibility of anyone listing their consultant-based business in the Services section of the Cedar Rapids Marketplace to comply with the corporate operating procedures

    Responsibility for Content

    Vendors and Service Providers are entirely responsible for all content that you upload, post, e-mail, transmit or otherwise make available through your listings, and not the Cedar Rapids Marketplace. We have no obligation to pre-screen content, although we reserve the right in sole discretion to pre-screen, refuse or remove any content.

    Listing Your Products/Services

    It is important to list all applicable information about your products and services (i.e. color, size, variations, uses, etc.). Do not make medical claims about products or give any medical advice through your listing.

    Processing & Shipping/ Pick-Up Procedures

    Vendors are responsible for shipping their sold items to buyers, or arranging alternate pick-up/delivery options. When using a shipping service, please understand that you are ultimately responsible for making sure the buyer receives the items they purchased from you.

    Choosing the best shipping method for your items is at your sole discretion. You can prepare shipping labels on PayPal or directly through shipping services like USPS, UPS, and FedEx.

    Shipping costs and processing times are to be accurately displayed with your listing. We expect that all items ship promptly, according to the terms identified within your listing, unless otherwise specified and agreed to with a buyer.

    By entering tracking information on your orders allows us to collect and share the tracking information received from your chosen shipping carrier with the buyer.

    In the unlikely event that an order does not arrive, be prepared to provide valid proof of shipping. Valid proof of shipping must show that the item actually was shipped and that it was sent to the address provided by the buyer (or verified via USPS address verification).

    Comply with all local and international shipping and customs regulations.

    Tax Reporting Obligations

    Internal Revenue Service regulations require that we file a Form 1099-K to report unadjusted annual gross sales information for sellers located in the United States or being paid in USD that meet both of the following thresholds in a calendar year (reporting):

    1. More than $20,000 USD in gross sales, and
    2. More than 200 transactions.

    To comply with these regulations, sellers who approach 150 (one hundred and fifty) transactions in a calendar year may be asked for tax identification information so we can provide the required documentation.

    Code of Conduct

    We take the integrity of our marketplace very seriously, and we ask that you do as well. We want you to represent the best of Iowa in all your dealings on the Cedar Rapids Marketplace website. Our marketplace is built on trust. Providing false, inaccurate, or misleading information in your application or listings may lead to the suspension of your account privileges. We reserve the right to reject partnerships that aren’t in line with this document.

    Reference

    1. Any information shared with the Cedar Rapids Marketplace will remain confidential.
    2. If you are a winery or other producer of beer, wine, or spirits you may list your business on the services page, but actual sales of these products are not conducted on the Cedar Rapids Marketplace.
    3. Pick-up or delivery options to customers should only be used to customers you personally know and feel comfortable providing that direct interaction with. For all other transactions, you should have your items shipped, or handed off at a safe ‘meet-me’ location, such as a police station
